Running a business
From task to invoice – how Nopsa supports your business
The client has agreed to a piece of work, someone has started it and the first hours have already been spent. A week later, will it still be clear what was agreed and what should be invoiced? A connected workflow keeps the task, the time spent on it and its billing together. Nopsa helps business owners and small teams build that workflow.

Simplified product view · fictional example data
1. Turn agreed client work into clear tasks
Work agreed by email or over the phone is easier to act on when it is written down so the next person can understand the expected result. “Client project” says very little. “Update the website contact details and check the form” describes where to start and what needs to be finished.
In Nopsa, you can link a task to a customer and a project. Use the project for the agreed scope and tasks for its concrete work stages. Record the necessary background and expected outcome in the task description. When the client requests additional work, create a separate task and agree on its scope and charge before starting.
2. Make ownership and the next step visible
Even in a small team, a task can stall when everyone assumes someone else is handling it. Nopsa lets you assign a task to a person and set its due date and priority. Agree on what completion means, too: is an internal check enough, or does the client need to approve the result?
The list view helps you review tasks, while the Kanban view shows work that is planned, in progress or complete. Start the working day by looking at what is worth finishing next. If something is waiting for a client response, record that alongside the task so you do not have to reconstruct the situation at every meeting.
3. Record time while the work is still fresh
At the end of the week, it can be difficult to remember how long each piece of client work took. Try logging time when a work stage ends, or at least on the same day. It is also a useful moment to check whether the task is finished or still in progress.
In Nopsa, time entries are linked to tasks, with the customer and project providing context. For hourly work, recorded time forms the basis of the charge. Tracking time on fixed-price work also helps you compare your estimate with the work actually done and plan the next similar assignment.
4. Choose a billing method and review work before invoicing
A billable task in Nopsa can have either a fixed price or an hourly rate. Choose the method based on what you agreed with the client. For hourly work, the charge is based on the task’s hourly rate and recorded time; a fixed-price task uses the agreed price.
Tasks ready for billing are those marked complete and billable that have not yet been invoiced. Before putting an invoice together, check the customer, the work included, the time entries and the prices. Nopsa lets you combine selected tasks on one invoice. Marking work complete is part of the process, while checking the invoice content remains the responsibility of the person preparing it.
An example: one small assignment, two billing methods
A fictional consultancy updates a client’s website. Content changes have been agreed as hourly work, with a fixed price for the launch check. The business creates one client project and two tasks, recording the work and billing method separately for each.
Once both tasks are complete and the entries have been reviewed, they can be combined on the client’s invoice as follows. These figures illustrate charges for client work, not Nopsa subscription prices. VAT is not included.
- Content changes: 2.5 hours × €80/hour = €200.
- Launch check: an agreed fixed price of €120.
- Total charge for the client work: €320 before VAT.
5. Connect invoicing to your accounting service
Once tasks and time entries are in order, the next step is moving the invoice into the business’s accounting service. Nopsa connects to Fennoa and Procountor. An invoice created from selected tasks can be exported to the connected service.
Set up the integration in Nopsa’s settings. You need an account with the relevant service and the necessary permissions; that service’s own fees are separate. Task invoicing is included in Nopsa’s Pro and Lifetime plans. Check which accounting service your business uses and choose a suitable Nopsa plan before setting up invoicing.
